Overview

The International Centre for Trade and Sustainable Development (ICTSD) occupies a distinct and vital place among international NGOs. It is a corporate, governmental and NGO partner that enables, facilitates, and support knowledge building and networking for policy development. As such it acts as a platform for facilitation as well as a research repository for a highly diverse range of actors seeking to make use of ICTSD’s analysis, research, and networks to assist their more effective engagement around trade and sustainable development. ICTSD’s work since 1996 has resulted in a rich portfolio of projects, conference results and electronic resources. ICTSD collects and organizes much of this material on its website, and from there, its constituents connect with the organization’s publications and activities. Program and Publications teams engage energetically in their own areas to expand ICTSD’s reach and effectiveness ICTSD man

To better meet its communication, collaborative research, and events and dialogues, ICTSD intends to adopt Salesforce. Salesforce will replace use of Excel data, an earlier and now dormant Access database as well as other ad-hoc tools.

Adoption will follow emerging standards for NGO/nonprofit use of Salesforce as well as requiring configuration and customization for ICTSD. This memo assumes use of technical resources for the initial configuration. Salesforce excels at providing lead users the ability to develop administrative mastery without deep programming skills and the initial process will provide opportunities for lead ICTSD staff to develop self-sufficiency for the long run.

Project Goals

Coordinate with ICTSD project team on reviewing CRM Framework and Roadmap planning documents prepared as part of a Spring-Summer 2011 technology assessment project and refine and adapt for implementation.

Advise and provide assistance on appropriate nonprofit/NGO licensing levels for ICTSD staff team. Advise on Salesforce add-on Apps that will support ICTSD’s goals.

Unified contact management across multiple program areas in ten policy areas of for sustainable development. ICTSD engages in a range of activity, including publications, events, social media, and general email and web communications

Oversee migration and deduplication of individual and institutional contacts. This will include assessment of the current lists and data assets and reaching consensus recommendations on how and what to migrate. While ICTSD previously had a Microsoft Access contact management database, data now primarily resides in multiple Excel spreadsheets and email documents. Data will need to be separated out into contacts, organizations and affiliations. One time deduplication will likely be a challenge!

Create mechanisms and workflow for a more uniform approach to organizing events, including back end support in Salesforce and over time, integration with web functionality for participants.

Realign email list management to operate from within Salesforce. ICTSD presently used Vertical Response for email

Develop appropriate management for program leads as well and analytical reports for ICTSD management.

Provide multi-level training to program staff, managers and system administrator.

Likely Specific Features

Configure Salesforce Enterprise edition with the Nonprofit Starter Pack for management of Contacts, Organizations, Affiliations, and Relationships.

Create appropriate user profiles and other sharing model configurations for program and other teams.

Configure appropriate fields for expressing contact interest and engagements in ICTSD program and publications areas

Customize support for managing ICTSD events and initiatives: defining events, managing invitations, registrations, participations, and post-event evaluations. Initially, we envision data collection to take place largely through staff activity within Salesforce combined with email list communication. Guidance in creating Salesforce email templates and workflows for event management

Ensure multi-language support (English, Spanish, Portuguese, French, Russian, Chinese, Arabic ) in event communications for ICTSD’s regionally oriented program teams.

Reconfigure ICTSD’s Vertical Response or a suitable replacement for management within Salesforce. This will include program team communications, specific event communications, as well as general communications.

Basic Grants Management for grants that ICTSD applies for and receives.

Ensure staff ability to effectively track email and phone communications with key constituents

Optional or Follow-On Phase Features

Integrate on-line event management (almost all events are free), for registration and conference communications

Provide means for constituents to manage their profiles and communications preferences

Publications subscriptions management. At present, publications are provided at no cost, yet subscription is required. Over time publications delivery will evolve to a mix of on-line, emailed and print.

Social media tracking and management using Salesforce basic social media tools; recommendations for add-on enhanced tools may be appropriate. First priority here will be for linkedin.com

Assistance in configuring Outlook and mobile contact management tools for Salesforce

Consultant Attributes

Experienced Salesforce consultant well versed with nonprofit CRM best practices and proficient in data migration and clean-up

Ability to coordinate a project with a geographically distributed team with limited self-starting database technology time and capacities.

Ability to coordinate with web and social media manager and/or additional consulting resources for eventual integration requirements.

ICTSD is based in Geneva with some staff in regional locations. Consultant should discuss extent to which work can be done remotely versus on-site, particularly for data migration and training.

Provide focused training and mentoring to staff toward goal of uniform standards and practices for contact and event management
